The AI Workflows That Actually Save Marketers Time
Most AI marketing content is either hype ('AI will replace your whole team') or gimmick ('here are 10 ChatGPT prompts'). Neither is useful if you actually run a marketing operation. What we've learned across our own agency and dozens of client deployments is simpler: a small number of AI-assisted workflows produce genuinely large time savings, and a larger number produce work that looks fast but creates more editing cost than it saves.
This piece is the honest inventory — the workflows we've deployed internally at It's Not Techy, ranked by hours saved per week, plus the workflows we tried and killed.
AI-assisted content briefs — our highest-leverage workflow
A Claude-powered briefing agent that takes a URL and a target keyword and produces a full content brief, structured in our template format (reader, question, proof points, outline, internal link targets, SME interview questions). The agent uses the target URL to understand the company's voice and positioning, pulls current SERP data for the keyword, and outputs a brief that's roughly 80% ready for a human editor to finalize.
Time saved: approximately 2 hours per brief over writing from scratch. Across an agency producing 20 briefs a week, that's 40 hours — an entire person-week reclaimed without adding headcount. The remaining 20% human time is doing the strategic parts AI can't do: deciding whether the brief's angle aligns with our overall content strategy for the client, adding nuance from SME interviews, and adjusting tone for the specific client relationship.
Why it works: briefs are structured artifacts with consistent components. LLMs are excellent at structured artifact generation. Briefs don't need original voice or hot takes; they need thoroughness and internal consistency. That's exactly what LLMs deliver reliably.
Ad creative variations — 10x output without 10x cost
A GPT-style workflow with a few-shot library of the client's highest-performing historical ad copy generates 20 variations per request, each varying one variable at a time (hook, angle, CTA, or format). The designer or copywriter picks 4–6 to polish and run. This compresses what used to be a full afternoon of copywriting into about 30 minutes of prompting and refining.
The critical detail that makes this work: the few-shot library has to be curated from winners, not just historical ads. Training a prompt on 20 mediocre ads produces 20 variations of mediocre. Training it on the 15 highest-ROAS ads over the last 12 months produces variations that keep the patterns the audience actually responds to while exploring new angles. The library becomes a compounding asset — the more historical winners you add, the better the output.
What we explicitly do not do: let the LLM generate the final ad copy that ships. Every piece of ad copy gets human edit, not because LLMs can't write serviceable copy (they can), but because the marginal polish from an experienced copywriter is what turns a 2x ROAS ad into a 4x ROAS ad. The LLM does the 80%; the human does the 20% that matters most.
Weekly report summaries — the 4-hour-per-week win
A Python script pulls GA4, Search Console, and ad platform data weekly, runs it through a Claude API call with the client's historical baselines and KPI targets in context, and produces a one-paragraph executive summary plus a three-bullet 'what changed' section. Saves approximately 4 hours per account per week, scaled across the 30+ accounts we report on.
The critical design decision: the LLM doesn't have access to 'think' about what the numbers mean beyond the summary statistics. It describes what changed; it doesn't diagnose causes or recommend actions. Causes and actions require context the LLM doesn't have (what's happening in the market, what the client's internal operations look like, what we tried last month). The senior strategist reads the summary and provides the strategic interpretation. This division of labor is durable because it respects what each party is actually good at.
The workflows we killed — AI does badly
AI-generated long-form articles. Even with extensive editing, the output reads flat. LLMs default to middle-of-the-distribution thinking, which is the opposite of what makes an article citable or rankable. We tried this for a year, measuring output against human-written content in the same categories, and AI-written pieces consistently underperformed on engagement, rankings, and citations. Content is the one place AI accelerates research but not writing. We still use it for outline generation, fact-checking, and paraphrase suggestions — but the draft itself is human work.
Also: AI-generated cold emails. B2B prospects identify AI-written outreach within seconds and reply rates collapse. We use AI to personalize a research paragraph at the top of outbound emails (the LLM reads the prospect's LinkedIn and writes a one-sentence relevant opener) but the rest of the email is templated human writing. The reply rates on this hybrid approach are 3x higher than pure AI outreach and roughly on par with fully human outreach at a fraction of the time.
Finally: AI-generated blog post images. They look generic, they trigger Google's AI image detection heuristics, and they add no signal. We use stock photography or custom design for anything that goes into a client's content library.
